Terms of service
The agreement for using KVN Billing. Plain language where it can be, specific where it matters.
Last updated: 29 October 2026
These terms apply when you create an account or use KVN Billing ("the service"). By using it, you agree to them on behalf of the business that owns the account. If you do not agree, do not use the service.
1. The service
KVN Billing provides billing, inventory, accounting, GST preparation and related tools for businesses, through a web application and an Android application. Features depend on the plan and modules included in your licence. We may improve, change or remove features, and will give reasonable notice of changes that materially affect how you work.
2. Accounts and responsibility
- You must give accurate details and keep them current, including your GSTIN when you use GST features.
- You are responsible for the users you create and for the permissions you give them.
- Keep passwords confidential. Only one session per login stays active; signing in elsewhere ends the earlier session.
- Tell us promptly if you believe a login has been compromised.
- The account owner is responsible for the business's use of the service and for its data.
3. Licence and payment
- The licence is for one business, as stated in your quote or plan. Additional businesses are licensed separately.
- Quoted prices include 18% GST unless stated otherwise. We confirm modules and limits before payment.
- Fees for payment gateways, SMS, WhatsApp and similar providers are charged by those providers, not by us.
- Paid periods are not refundable except where required by law or where we cannot provide the service.
- If a paid period ends, access to paid features may be restricted. Your records remain available for export; contact us before the period ends.
4. Your data
You own the business records you enter. You give us permission to store, process, back up and transmit them only as needed to run the service, provide support, send messages you switch on, and meet legal obligations. Our privacy policy explains this in more detail. You are responsible for having the right to store your customers' contact details and for the messages you send them.
5. Acceptable use
Do not use the service to:
- break any law, including GST, tax or record-keeping requirements;
- store or send unlawful, fraudulent or harmful content;
- send unsolicited bulk messages or ignore a recipient's opt-out;
- attempt to access another business's data, probe the service for weaknesses, or interfere with its operation;
- resell or sublicense the service without a written agreement.
We may suspend an account that is being used in these ways, or where continued use puts the service or other customers at risk.
6. Third-party services
Some features connect to services we do not control: payment gateways, WhatsApp and SMS providers, email delivery and GST portal files. Their availability and terms are their own. We pass on the result they return and are not responsible for their outages, decisions or fees.
7. Availability and maintenance
We aim to keep the service available, but it may be interrupted for maintenance, updates, network failures or events outside our control. Where possible, maintenance is announced in advance. The service is not a substitute for your own record keeping: keep copies of statutory documents as required by law.
8. Backups
An encrypted full database backup is taken weekly and the last five copies are retained. Backups are for disaster recovery and are restored by the platform administrator. A restore returns the database to the point of that backup, so very recent entries may not be present in it. Backups are not a replacement for exporting records you are legally required to keep.
9. Intellectual property
The software, design and documentation belong to us or our licensors. Your business records remain yours. You may not copy, modify, reverse engineer or redistribute the software except as allowed by law.
10. Liability
The service is provided with reasonable care and skill. To the extent permitted by law, we are not liable for indirect or consequential loss, loss of profit, or loss caused by data you entered incorrectly, by third-party services, or by using the software contrary to these terms. Nothing in these terms limits liability that cannot be limited by law. You are responsible for checking tax calculations and filings before submitting them to any authority.
11. Ending the agreement
You may stop using the service at any time and ask us to close the account. We may end the agreement for material breach, non-payment or use that risks the service. On closure, we handle records as described in the privacy policy and in clause 4.
12. Governing law
These terms are governed by the laws of India. Disputes are subject to the jurisdiction of the courts at our registered place of business in India.
